Hospitality bookkeeping, Canberra

Bookkeeping that keeps up with service.

Weekly profit, wages and till reports for pubs, cafés and restaurants. From a team that came off the floor.

Chefs working the line in an open restaurant kitchen during service

We didn’t find hospitality. We came from it.

Fifteen years in the industry taught us that venues are won and lost in the margins. A roster that costs more than the week can carry. Beverage costs creeping past budget. A month-end report finds these four weeks too late.

So we report weekly, against a budget we set with you, while there’s still time to act.

Every week

One pack. The whole week.

What’s included, and how often, depends on the package we agree. This is the full service.

  • True weekly profit.

Sales, food and beverage, wages and overheads, each against budget. Rent and annual bills are spread across the year, so one big invoice can’t make a good week look bad.

  • Wages as they fell.

Labour for the week worked, not the week paid. Front and back of house, with hours against sales.

  • A daily till check.

POS takings matched to EFTPOS, cash, tips and ordering apps, day by day. A short till becomes a Tuesday conversation, not a month-end mystery.

  • Who you owe.

Supplier bills entered as they arrive, and payments prepared for your approval. You decide what goes out.

  • Payroll, every week.

Pays run from your timesheets, with Single Touch Payroll and super taken care of.

  • A page for managers.

Owners get the full picture, cash included. Managers get one page showing only what they control.

Then we tell you what we see.

Numbers don’t fix anything on their own. A beverage cost that looks too good is usually a keg invoice that hasn’t been entered. We’ll say so, and point you to what to look at next.

How it works

From first call to first pack.

  1. Connect.

We link Xero with the systems you already run: your POS, rostering, payroll and bills.

  2. Budget.

We set a weekly budget with you for sales, wages and cost of goods. Every week is measured against it.

  3. Report.

Each week you get the pack for the week just gone, with a note on what moved and why.

Works with what you run.

  • Xero
  • Lightspeed
  • Deputy
  • Employment Hero
  • Hubdoc

Your BAS, handled.

Keep HQ is a registered BAS agent (26216060). We prepare and lodge your BAS and IAS, and work alongside your accountant, who prepares your tax return.

Questions.

Who do you work with?

Pubs, cafés, bakeries, bistros and restaurants across Canberra, from single venues to groups with several sites.

Do we have to change our systems?

No. We work with the POS, rostering and payroll systems you already use. If one is costing you time, we’ll tell you.

Do you do our tax return?

No. We’re a registered BAS agent, not a tax agent. We look after your books, payroll and BAS, and work alongside your accountant, who prepares your tax return.

What does it cost?

A fixed fee, agreed before we start, once we’ve seen how your venue runs. Your package, and exactly what it includes, is set out in writing before we start.

When do the reports arrive?

Every week, for the week just gone, once your takings and timesheets are in.

Can our managers see their own numbers?

Yes. Each manager gets a one-page report showing only what they control. Owners get the full pack.
