Keep HQ Pty Ltd ("Keep HQ", "we", "us") provides bookkeeping, BAS, payroll and related services. We respect your privacy and handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the confidentiality obligations that apply to registered BAS agents.
What we collect
- Website enquiries: your name, company, email address, phone number and anything you write in your message.
- Clients: contact details, business and financial records (such as bank transactions, invoices and bills), and access to the accounting and payroll software you authorise us to use.
- Your employees: when we run payroll for you, we process employee details such as tax file numbers, bank and superannuation details, pay rates and leave records.
How we collect it
We collect information directly from you, from the software and systems you give us access to, from government agencies such as the ATO when we act as your agent, and from other advisers you authorise to share information with us.
Why we use it
We use personal information to respond to enquiries, provide and invoice our services, prepare and lodge activity statements and payroll reporting on your behalf, and meet our legal and professional obligations.
Who we share it with
- The ATO and other government agencies, when we lodge or correspond on your behalf.
- Your other advisers, such as your tax agent or accountant, with your consent.
- Service providers we use to run our practice, such as cloud accounting, payroll, practice management, email and document storage providers.
- Anyone else where we are required or authorised by law.
We do not sell personal information.
Overseas storage
Some of the software providers we use store data on servers outside Australia, including in the United States. We choose reputable providers and take reasonable steps to make sure your information is protected.
Tax file numbers
We collect, use and disclose tax file numbers only as permitted by taxation, superannuation and related laws, and in line with the Privacy (Tax File Number) Rule 2015.
Security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including limiting access to staff who need it and using secure, access-controlled cloud systems. We keep records for as long as the law requires (generally five years for tax-related records) and then securely destroy or de-identify them.
This website
This website does not use analytics or advertising cookies. When you submit the enquiry form, your details are sent to us through Google and stored in our Google Workspace account so we can reply to you.
Access, correction and complaints
You can ask to access or correct the personal information we hold about you by contacting us. If you have a concern about how we have handled your information, please contact us first and we will aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
